The Opportunity

The Assistant Office Facilities helps oversee and manage the day-to-day operations of a Vancouver Corporate Office during the office renovations project and be responsible for preserving the good condition of infrastructure and ensure that facilities are safe and well-functioning.

Among the many duties, the Assistant will handle building repairs (or retain a contractor to do the work) and oversee both janitorial or maintenance services, put together furniture, move boxes, general clean-up etc. 

The goal is to ensure our business’s accommodation is problem-free and safe so that employees can work under the best conditions. 


Main Responsibilities

During Office Renovation:

  • General maintenance of the office, ensuring general organization and cleanliness of interior areas.
  • As directed; assist with various administrative tasks, i.e. packing files, organizing file room and mail room, etc.
  • Contact for work station and office relocations and reconfigurations - e.g. contact appropriate vendors, etc.
  • Managing the upkeep of equipment and supplies to meet health and safety standards
  • Control activities like parking space allocation, waste disposal, building security etc.
  • Allocate office space according to needs
  • Ensures that the office environment is clean, tidy and conforms to health and safety requirements (includes meeting rooms, lunch rooms, etc.)
  • Act as the point of contact for internal and external clients
  • Assists with other office administrative related tasks as required.
  • Work with project staff to handle requests and queries as required
  • Screen questions to shared project e-mail address


Required Skills

  • A high school diploma
  • Experience in a Front-Desk, Administrative Assistant or other related  position
  • Proven experience as facilities assistant, handyman or other relevant position
  • Ability to bend and stand for long periods of time as needed
  • Must be able to lift as much as 30 pounds
  • Good analytical/critical thinking
  • Excellent verbal and written communication skills
  • The ideal candidate will be well-organized and able to optimize the use of space and equipment while reducing operating costs
  • Leadership abilities and phenomenal efficiency
  • Brings a high level of professionalism to the business environment, highly customer service orientated
  • Detail orientated with a solid understanding of time-sensitive work flows
  • Helpful, friendly and outgoing, able to relate to staff and external visitors across all levels of seniority
  • Organized & proactive approach
