Co-op, Document Management (8 Month Term)

The Role:
The Document Management Co-op Student supports the SharePoint document management initiative, focusing on content clean-up and migration. This role is responsible for developing user-friendly training resources, maintaining the Design Decisions library, and enabling site owners and end users to adopt new standards efficiently. The goal is to help departments transition smoothly with fewer support tickets and enhanced adoption of best practices.
Key Responsibilities:
- Assist departments in cleaning up their content and planning for future needs.
- Create new SharePoint sites and maintain existing ones.
- Send communications and follow established cutover checklists during migrations.
- Validate document counts, manage permissions, and ensure links function correctly after cutover.
- Document any exceptions encountered and report them to the project team.
- Obtain approval signoffs from department leaders for completed tasks.
- Keep the Document Management Change Centre updated with the latest changes.
- Develop concise job aids, such as one-pagers and training videos, covering frequent tasks like safe sharing, managing version history, and moving files without breaking links.
- Host office hours and quick clinics, capturing frequently asked questions for the Knowledge Base.
- Identify recurring issues, propose solutions such as templates, checklists, and micro-training, and implement improvements.
- Contribute to a living runbook by creating repeatable steps for migrations and site enablement.
The Candidate:
The successful candidate will be a motivated and detail oriented Co‑op student currently pursuing post‑secondary studies in Information Technology, Computer Science, or a related field.
They will bring foundational knowledge of information and data management principles and a solid proficiency in Microsoft technologies.
The successful candidate must also possess strong written and oral communication skills and be able to collaborate with various team members and internal stakeholders in resolution of issues and continuous improvement. A high level of technological proficiency and aptitude for learning is required.
Key Qualifications:
- Currently enrolled in a post-secondary program in Information Technology, Computer Science, or a related field.
- Practical experience working with Microsoft 365 applications.
- Well organized, with a high degree of accuracy and attention to detail.
- Strong communication and customer service skills.
- Ability to prioritize, deadline driven and able to handle multiple time-sensitive tasks successfully.

The salary range for this position is: $42,000.00-$60,000.00
